Overview:

Westchester Jewish Community Services (WJCS) is seeking a full-time Psychiatry Medical Administrative Coordinator to support our outpatient mental health clinics. As the largest provider of community outpatient mental health services in Westchester, WJCS serves individuals across the lifespan. The salary range for this full-time position is $52,000 - $55,000.

Responsibilities:

As a valued member of our team, your responsibilities will include, but are not limited to:

  • Providing administrative support for psychiatric staff and oversee service operations, including scheduling, medical records management, patient outreach, referrals, and care collaboration.
  • Working closely with the medical leadership team in psychiatry, including the Clinic Nursing Supervisor and Assistant Director of Administrative Psychiatric Services as well as the Chief Medical Officer, in implementing workflows.
  • Obtaining and maintaining external medical records, such as discharge summaries, physical exams, and lab results.
  • Triaging for medical concerns and medication requests that arise outside of psychiatric appointments.
  • Conducting patient outreach and reminder calls for psychiatric and nursing appointments, including injections.
  • Managing scheduling, rescheduling, waitlists, and addressing and back-filling no-show and cancelled visits.
  • Assisting in telehealth setup to ensure seamless patient care.
  • Handling referral management for psychiatric providers, in conjunction with nursing, including coordination with outside providers.
  • Processing prior authorizations for medications, prescription monitoring, and registry entries, when requested.
  • Coordination of care with outside pharmacies, labs, and providers.
  • Serving as a point of contact for psychiatric services with respect to care coordination.

Requirements:

We are seeking candidates who possess the following qualifications:

  • Associates degree, or High School diploma with 4 years of relevant experience; college degree preferred.
  • 2+ years of managerial administrative experience.
  • Medical Assistant Certificate from an accredited program preferred.
  • Bilingual English/Spanish a plus.
  • Strong organizational and problem-solving skills.
  • Experience in mental health, psychiatry, or medical administrative functions.
  • Ability to work independently, take initiative, and contribute to operational improvements.
  • Creative, solution-oriented mindset.
  • Strong interpersonal skills and a collaborative team approach.
